When is the On-Ground event's race day?

The Coal India Guwahati Half Marathon will happen on Sunday, 3rd December 2023.

When do the registrations start and end?

Registration Start - Sunday, 24th September 2023, 07:00 AM IST

Registration End - Friday, 24th November 2023, 07:00 PM IST or as soon as running places are over

What is the minimum age eligibility to apply in each race category (on-ground)?

Is there any upper age limit for each race?

There is no upper age limit for any race category.

What is the application fee for participating in the on-ground event?

Important: The registration fee paid is exclusively for your race category participation in the Coal India Guwahati Half Marathon. The registration fee is not, in part or full, payable for any offers/promotions/ discounts/goodies/race day tee, etc. These, if offered, will be by event sponsors/partners/ brands through the Event Promoter separately.

What does the registration fee cover?

The registration fee paid is exclusively for your race category participation in the Coal India Guwahati Half Marathon. The registration fee is not, in part or full, payable for any offers/promotions/discounts/goodies/race day tee etc. That is offered, directly or indirectly, by the Promoter/Event Sponsor/Partner.

How to apply?

Is attaching a passport sized photograph with the online application form compulsory?

Yes, it has to be provided with each application form at the time of submission of application. Online applicants need to attach their photograph with their face clearly visible whilst submitting the application; the photograph size should not exceed 1 MB in .jpeg and .png format.

All participants’ race day images will be screened visually after the race and matched with the photo provided at the time of registration. If the photo provided during registration does not match with the race day photo of the confirmed participant, the registered runner will be disqualified from the race and the subsequent edition of the event.

Is attaching a Govt. issued photo ID proof with my application compulsory?

Yes, applicants need to attach their Govt. issued photo ID proof whilst submitting the application; the photograph size should not exceed 3 MB in .jpeg and .png format.

Govt. issued photo ID proof will include documents like Passport, PAN Card, and Aadhaar Card.

How can an overseas applicant apply for the Event?

An overseas applicant can apply ONLY through  online registrations

Which payment mode will be accepted for online registration?

An online applicant can pay ONLY via credit card, net banking, debit card, UPI and payment wallets.

How will my entry acceptance be intimated to me?

Post 7 working days of registration, individual applicants are required to go to the Coal India Half Marathon website, login into their profile using the registered email id and check “profile section” for their application status.

Can I register for more than one race category at the on-ground event?

No. An individual can apply only for one race category at the on-ground event. Multiple applications will entail all being rejected.

Under what circumstances will my rejected application fee be refunded and how?

1. Once your entry is received, no requests for refund of application fees will be entertained under any circumstances.
2. Where your application is rejected for reasons whatsoever, the entry fee component paid will be refunded on or before 15th January 2024. An amount of ₹ 150 will be deducted as processing charges.
3. Application fees shall not be refunded by virtue of non-participation, including failure by a confirmed participant to collect his/her bib from the Bib collection center.
4. Any refund discrepancies must be brought to the attention of the Event registration team immediately. Refund queries will not be entertained post 15th January 2024.

Will I be eligible for a refund in case I didn’t pick up my confirmed bib from the expo?

No, entry fee is non-refundable entry rules and guidelines

Will I get a refund of my entry fees, if my application is not accepted?

Participation in the event is subject to entry confirmation. Where your application is not confirmed for any reason, the application fees paid by you will be refunded on or before 15th January 2024. An amount of ₹150 will be deducted as processing charges. Any refund discrepancies must be brought to the attention of the event registration team immediately. Refund queries will not be entertained post 15th January 2024.

Will I get a refund for unused codes?

Once online codes are purchased, they can only be used online for the Coal India Guwahati Half Marathon edition and till the time registrations are open or running places are available. The amount against unused codes can be refunded after deducting the processing fees of INR 175. The refund will be made by 28th February 2024.

Once I have applied can I cancel my application and get a refund?

Once applied, no requests for refund of application fees will be entertained, under any circumstances.

Can I change my race category once I have applied/my application is confirmed?

Once you have applied for a particular race category, you cannot change your race category.

Will I get a timing certificate and finishers medal for participating in the Half Marathon (21.097) Kms Category/Open 10K (10 Kms) Category?

Yes, all finishers of the Half Marathon/Open 10K race categories will get the finisher medal post their run on race day (medals will not be posted to individual runners). While provisional results will be available by 5 pm on race day, timing certificates of marathon finishers will be available for download from https://www.sportstimingsolutions.in post 21 working days from race day.

Will I get a timing certificate and medal for participation in the Guwahati Fun Run 5k (5 kms) Category? 

The Guwahati Fun Run 5k category is a participative, fun run. Being a non-timed category, finish timings of participants will not be captured; timing certificates will not be issued for this category. 

All finishers of the Guwahati Fun Run 5k race category will get the finisher medal post their run on race day (medals will not be posted to individual runners).  Participation certificates of Guwahati Fun Run 5k participants will be available for download from https://www.sportstimingsolutions.in/ post 7 working days from race day

When will I get my application confirmation and how?

Application confirmation will be sent to your registered email id and will also be updated in the “profile section” on the Coal Indian Guwahati Half Marathon website. You need to login with your registered email id to view your “my profile section”.

Can I register for my friend?

No. An applicant has to sign/agree to the waiver/consent himself/herself. You cannot register on your friend's behalf.

What will happen once I submit my application?

Please note, confirmation is subject to –

1. Verification of documents, where applicable, submitted by you.

2. Verification of your application’s age eligibility.

3. Availability of running spaces under each criterion.

4. Entry Rules and Regulations.

Can I and my group of friends/colleagues submit our applications together as a group?

Group entries will be accepted for all race categories i.e. Half Marathon, Open 10K and Guwahati Fun Run 5k category. There has to be a minimum of 20 individual entries to comprise a group.
 

Group entries will be accepted for all the participative race categories (Half Marathon, Open 10K and  Run). There has to be a minimum of 20 individual entries across these race categories to comprise a group. 

Online registration: Each member of the group will have to register individually on <> using the group registration prepaid code/s. Group registration prepaid code/s need to be purchased in bulk, email at corporateregistration@procam.in to purchase group registration prepaid codes.

GROUP REGISTRATION PROCESS 

A. Group Registration Process where the group/corporate is sponsoring the entry fees of its team members/employees for the Half Marathon, Open 10K Guwahati Fun Run 5k.

1. ONLINE REGISTRATION PROCESS

1. Point of contact of the group/ corporate (PoC) to email the request at corporateregistration@procam.in with the number of registrations required mentioning the group name and race categories.

2. Post receiving the group/ corporate group registration email request, the PoC will be emailed the payment link to pay the cumulative entry fees of all its team members.

3. On making online payment, PoC to share online payment receipt on email: corporateregistration@procam.in with group/corporate details to receive online group registration codes. No codes will be shared if the payment receipt is not shared with us on email: corporateregistration@procam.in. The amount against unused codes will be refunded after deducting the processing fees of INR 150 from the total refundable amount. The refund will be made by 28th February 2024.

4. On receiving payment confirmation email, a receipt voucher of registration fees will be generated and sent by PIPL to the PoC’s email address.

5. The Coal India Guwahati Half Marathon registration team will email PoC the unique codes required to get the individual team members registered online to be part of the group.

6. All members of the group/corporate need to individually register using the online codes issued by PIPL.

7. By using the code, the team member is not required to pay the applicable entry fees of the on-ground Half Marathon/Open 10K/ Guwahati Fun Run 5k category. 

8. Purchasing online codes does not guarantee entry to the event. The members of the group/corporate need to register online here using codes before the registration end date or till the running spaces are available for the on-ground Half Marathon, Open 10K and Guwahati Fun Run 5k category at the Coal India Guwahati Half Marathon edition. Registrations will close as and when the running spaces are filled.

9. Once online codes are purchased, they can only be used online for the Coal India Guwahati Half Marathon edition and till the time registrations are open or running places are available.

10. Team members not mentioning the online code given by PIPL, and as intimated to them by their POC, will not be considered to be part of the group. Such applicants will be required to collect their running bib number from the Bib collection center separately. No provision of refunding the individual payment or adding such participants in the group will be entertained.

B. Group Registration Process where individual team members/ employees will be paying their own entry fees for the Half Marathon/Open 10K/Guwahati Fun Run 5k participative category.

ONLINE REGISTRATION PROCESS

1. Point of contact of the group/ corporate (POC) email the request at corporateregistration@procam.in with the number of registrations required in the Half Marathon, Open 10K and Guwahati Fun Run 5k race category, mentioning the group name. 

2. The Coal India Guwahati Half Marathon registration team will email POC the common group registration code required to get the individual team members registered online to be part of the group.  

3. All members of the group/corporate need to individually register online here using the common group registration code issued by PIPL, and pay the applicable entry fee.

4. Purchasing the common group registration code does not guarantee entry to the event. The members of the group/corporate need to register online here using code before the registration end date or until the running spaces are available at the Coal India Guwahati Half Marathon 2023 edition. Registrations will close as and when the running spaces are filled.

5. Team members not mentioning the online code given by PIPL, and as intimated to them by their POC, will not be considered to be part of the group. Such applicants will be required to collect their running bib number from the  Bib collection center separately. No provision of refunding the individual payment or adding such participants in the group will be entertained.

6. All requisite mandatories (submission of mandatory documents) will apply for all team members registering under the group.

How can I collect my bib for the on-ground race?

a.  In order to collect running number bibs from the Bib collection center, participants will need to choose their bib collection time slots. Slots will be assigned on a first-come, first-served basis.

b.  It is mandatory for all individual participants of the Half Marathon and Open 10K race categories to collect their running numbers personally from the Bib Collection Centre. Confirmed participants must carry along following documents in order to collect his/her number bib:

(i)   Application confirmation.

(ii)  Govt. approved photo ID proof.

c.  In case of unavoidable circumstances, a runner confirmed in any of the above 2 mentioned race categories can send his/her representative to collect running number bib on his/her behalf. Please note, a representative will not be allowed to collect running number bib on behalf of more than ONE participant. The representative must carry along following documents for number bib collection:

(i)  Application confirmation.

(ii)  Govt. approved photo ID proof of the runner.

(iii) Govt. approved photo ID proof of the representative.

How can a group SPOC pick up all the bibs of the group from the expo?

d. Group collection for Half Marathon, Open 10K and Guwahati Fun Run 5k participants: A group can send their representative/s to collect the running number bibs on behalf of their team members. Running number bibs of the entire group participating in Half Marathon, Open 10K and Guwahati Fun Run 5k category/ies will be handed over at one go. The representative/s need to carry the following documents for collection of number bibs:

(i) Printed copy of group confirmation email sent across to the group’s point person

(ii)  Printed copy of signed letter <

> on the NGO/company letterhead authorising the representative/s to collect number bibs on behalf of the group. 

(iii) Govt. approved photo ID proof of the representative.

e.  No running number will be posted to individual mailing addresses for whatsoever reasons. Further, no number bibs will be handed over to any participant post the declared closing hours of the Bib collection center – by 7 p.m. on Saturday, 2nd December 2023.

While registering online, what should I do if the amount is deducted from my account but my transaction status is shown as pending?

What should I do if I am unable to open the registration website?

We recommend you to use an updated version of Mozilla Firefox or Google Chrome for an optimized registration experience. You should also clear the cache and cookies and retry. If the problem still persists, send us a screenshot of the error at guwahatihalfmarathon@procam.in

On what grounds can my application be rejected or declared invalid?

Your application can be rejected on any of the grounds listed below. A regret email will be sent to the email ID mentioned in the form spelling out the reason for not accepting your application.

1. Incomplete form submitted.

2. Waiver & consent not signed.

3. The applicant is underage for the race chosen.

4. Mutilated form/cheque/demand draft submitted.

5. More than one application received from the same applicant for an on-ground event.

6. Short receipt or non-receipt of application fee.

7. Required documents not attached/submitted/submitted documents not valid.

8. Running places are full.

9. Any other reason

Is a Goodie bag available to all participants of Coal India Guwahati Half Marathon?

No. Goodie bags are not given.

Can you post me my Running Number Bib?

No. All participants must come to the Bib collection center to collect their Bibs.

Can I transfer my bib to somebody else or somebody else can run on my bib?

No, it cannot be transferred to somebody else.  Race day images of participants will be screened visually after the race and if any of the participants is found not wearing the running number bib allotted to him/her, the participant registered for that bib will be disqualified from the race and the subsequent edition of the event in 2024. Further, Procam International reserves the right to take necessary legal action against the registered participant and the person who has used the running number bib on race day, for impersonation.

IMPORTANT: All running bibs have a unique barcode affixed to it. This barcode is synced to the personal details of the registrant, including photographs, submitted by them while registering. All running bibs will be scanned at the entrances of the event venue. Persons without a bib or wearing an incorrect or invalid bib, or where the photograph submitted along with the form does not match with the person wanting to enter the venue, WILL NOT be allowed entry. For Groups, do make sure that you distribute bibs as per the list shared with the group POC and assigned by the Promoter. You are sincerely advised NOT TO EXCHANGE THE RUNNING BIB WITH ANOTHER PARTICIPANT/PERSON. Procam International will also blacklist the group from participating in the next edition if the group is found to have distributed bibs to non-registered participants/incorrect participants.

Will I get my bib replaced in case I lose it, or post a bib collection?

No, we will not be able to replace any bib once it has been collected from our end. 

Can I register on the day of the event?

No. Requests for registration will not be entertained after closure of respective registration dates.

Will my performance at the Coal India Guwahati Half Marathon event be considered for the Procam Slam?

No, Participating in the Coal India Guwahati Half Marathon will not be considered for Procam Slam.

Will I get a Race Day Singlet/T-shirt?

All Confirmed participants will receive a race day t-shirt, at the Bib Collection Center. We will try our best to accommodate the t-shirt size selected by you. However, if unavailable, the next best available size t-shirt will be offered. Any requests for change in size/colour will not be entertained. Please note no race day t-shirt will be couriered to anyone pre or post the event.


 

What are the instructions to be followed before starting with the online registration?

Gearing up for online registration, save time and effort by paying attention to the appended instructions before you proceed:

* Keep scanned copy of your photo ID proof, passport size photograph and vaccine certificate files ready in .jpeg/ .png format (file size not more than 1 MB), before you click the “Proceed” button at the bottom.

* For security reasons, please DON’T use following characters anywhere on the registration form, in file name (attachment), your profile password and in website link.
